Sports-team transport is about getting people and equipment to a usable arrival point with enough time to prepare. The start of a match is only one milestone. Warm-up, registration, changing rooms and coach briefings all affect when the group needs to arrive. A team with bulky kit can also need more storage than another group with the same headcount.

Use this checklist for a Cairns team trip, tournament transfer or supporter movement. Keep the playing group and spectators separate in the planning record so their different arrival and departure needs are visible.

Count every travelling role

List athletes, coaches, officials, medical or support staff and any accompanying adults who will use the vehicle. For junior teams, the club or school should set its supervision arrangements. Transport does not replace the organisation’s responsibility for attendance, consent or supervision.

Record the maximum number on each leg. A team member joining at a second pickup changes the count for the later part of the route. If supporters are using a different service, give it its own passenger list. Confirm changes with the organiser instead of letting several team members separately advise the driver.

Make an equipment inventory

Write down the number and approximate size of kit bags, balls, protective equipment, coolers and larger items. Include any equipment that cannot be stacked or needs particular handling. Personal overnight bags and competition kit may both travel, and the combined load matters.

Send the inventory with the passenger count before a vehicle is proposed. Ask the team to confirm how the load will be carried. A seating capacity describes seats, not a guaranteed equipment allowance. If equipment changes after confirmation, advise the operator before departure rather than discovering a storage issue while the group is boarding.

Choose the real arrival deadline

Ask the team manager for the time everyone must be ready at the venue, then account for unloading and walking to the registration or changing area. A coach dropping at the property boundary may be some distance from the competition entrance. Request a route assessment based on the actual venue gate.

Keep a separate warm-up milestone and competition start milestone in the run sheet. If the team needs breakfast, a meal stop or a break on a longer journey, include it in the itinerary. An extra stop is part of the transport job and should be assessed before the day.

Plan the collection point

Agree one point for athletes and one person to conduct the attendance check. Tell passengers where to place equipment while loading so the driver and organiser can coordinate it safely. Avoid obstructing a venue entrance or asking people to stand in a vehicle movement area.

For venues with several ovals, courts or halls, identify the exact competition area and approved bus parking or pickup position. A street address does not always identify the correct gate. Send organisers the meeting point in plain words alongside any map pin, and nominate an alternative only after the operator has agreed it.

Allow for an uncertain finish

A tournament with variable fixtures needs a different return plan from a match with a known finish. Tell the operator which details are fixed and which depend on results. Ask whether the quote includes waiting, a nominated return departure or another arrangement, and how additional time would be handled.

Do not assume the coach remains available throughout an open-ended competition. If two teams could finish at different times, ask about separate returns or a common collection window. The decision depends on vehicle availability, the route and the confirmed operating plan.

Keep the manager in control of changes

Issue the approved itinerary to one team manager and a backup contact. The manager should hold the attendance list, operator contact and venue instructions. Changes such as a new ground, an additional passenger or a later finish should be reported through that person.

After the event, do a passenger and equipment check before leaving. Make arrangements for athletes travelling home independently, so a missing person is not confused with someone who has formally left the group. Ask passengers to check their seats and equipment area on arrival and report lost property promptly.

Send a complete team brief

Include the sport, date, origin and venue addresses, required arrival time, return timing, maximum people and equipment inventory. Add any boarding assistance or mobility-equipment needs. Discuss vehicle features individually if something such as a restroom is essential to the journey.
