Seat count is one part of vehicle selection. A group travelling from an airport with suitcases can need a different arrangement from an equally sized group attending a local dinner. Oversized equipment, mobility aids and venue access also affect the assessment.

This guide helps you prepare the information needed for a suitable vehicle proposal. It does not assign a universal luggage allowance to a vehicle category or guarantee that a particular model is available.

Use the maximum people on board

Count everyone travelling, including children, group leaders and support staff. For a route with pickups and drop-offs, identify the maximum number present on each leg. A starting count can be lower than the busiest part of the journey.

Tell the team whether the number is provisional and when it will be settled. If it changes after confirmation, advise the operator. An extra passenger may require a different arrangement; do not assume capacity can be increased at boarding.

Turn luggage into an inventory

Give the number of checked-size suitcases, cabin bags, smaller personal items and larger pieces. Add dimensions for unusual equipment where practical. Describe whether items are fragile, cannot be stacked or require particular handling.

Do not estimate storage by looking at empty passenger seats. The load needs an accepted storage arrangement. Ask what is included and whether any alternative such as a different vehicle or separately assessed equipment carriage is required.

Explain the journey and access

Send the route, journey pattern and venue instructions. A larger seating capacity does not automatically mean the vehicle is suitable for a narrow entrance, restricted turning area or proposed waiting point. The operator needs the addresses and access details.

For multi-stop days, explain whether bags need to remain with the vehicle and when passengers need access. This can affect whether separate transfers or a retained vehicle better match the itinerary.

Treat essential features as requirements

If a restroom, particular boarding arrangement or mobility-equipment space is essential, say so in the enquiry. Ask for explicit confirmation rather than treating a generic fleet photograph or feature icon as a booking promise.

Explain the functional need in plain language. For example, describe the equipment and assistance required at boarding instead of simply requesting an accessible bus. Suitability is specific to the vehicle, passenger and pickup environment.

Discuss changes before accepting substitutes

Ask how the operator handles alternative vehicle allocation and what requirements must remain satisfied. The conversation should focus on the booked passenger count, accepted load and essential features. Vehicle branding or a photograph is not a complete specification.

If the organiser later adds equipment or changes the route, the earlier proposal may need review. Share the updated requirements promptly and obtain confirmation rather than relying on the original assessment.

A strong request contains maximum passengers, luggage by type, oversized items, boarding requirements, route, access restrictions and essential facilities. Mark optional preferences separately from requirements. This helps the team assess the journey without guessing which features matter.
