An event transport plan can fail even when the route is clear if nobody knows who manages the passengers, the venue access or the decision to wait. Assigning responsibilities turns the itinerary into a practical working plan.
This guide is for organisers moving a Cairns group to an event or concert. It focuses on coordination across the organiser, venue and operator, rather than on a particular vehicle size or a guaranteed event pickup location.
Nominate the movement owner
Choose an organiser who can answer questions during boarding and departures. If that person is busy inside the event, nominate a backup. Give the operator the approved contact and explain who may request itinerary changes.

Keep changes in one channel
The organiser should reconcile a change with the operator and venue before issuing new passenger instructions. Record the revised time or location in the run sheet. Contradictory messages can send guests to different pickup points.
After the return, check passenger attendance and ask guests to collect personal items. If anything is missing, report it using the operator contact with the movement details. A coordinated close is as useful as a coordinated start.
