A good pickup point works for both the passengers and the vehicle. It is easy to describe, has an agreed place to wait and allows the proposed bus to stop safely. A map pin alone cannot tell the organiser whether the entrance is accessible or whether guests will wait at the correct door.

Use this guide to plan hotel, venue and community-group collections in Cairns. The operator needs to assess the proposed point; an organiser should not designate an unapproved roadside position merely because it is close to the group.

Describe the point beyond its address

Give the property name, street address and entrance or gate. If there are several entrances, explain which one is intended. Include a recognisable landmark within the approved meeting area, such as the reception entrance rather than a vague instruction to wait outside.

A pin can support the description, but it should not replace it. Check that the pin refers to the passenger collection point and not a back entrance or service driveway. Send the same description to passengers and the transport team.

Confirm permission and access

Ask the hotel or venue which area a charter vehicle may use. Send any access restrictions, driveway information or parking instructions to the operator. Passenger-car access does not prove that a coach can turn, wait or unload there.

If the requested point cannot be used, ask the parties to agree a practical alternative. Consider walking distance, lighting, shelter and passengers’ boarding needs as well as vehicle access. Do not move the collection across a busy road without assessment.

Use a boarding time and a departure time

Tell passengers when to be ready to board and when the vehicle is due to leave. The organiser needs time for attendance, loading and any assistance. Saying only that the bus leaves at a certain time encourages people to arrive at the last moment.

The boarding allowance depends on the group and its load. Ask the team to assess it alongside the route. Keep pickup instructions short enough to read on a phone and mark the final version clearly.

Make several pickups visible in the brief

List stops in the requested order, with the people boarding and any luggage at each. Ask whether a loop or separate collection groups would better serve the arrival deadline. More stops mean more positioning and boarding activity, not simply extra distance.

Tell the first pickup group the actual journey pattern so they know they are collecting other passengers. Avoid promising an arrival based only on the shortest direct route when the group is using a collection loop.

Manage attendance through the organiser

Nominate someone to check who has boarded and who has withdrawn. Passengers should report their changes to that person. The driver should receive coordinated instructions rather than separate requests from several guests.

Keep any sensitive passenger information private. The organiser can identify boarding assistance needs to the team without sharing medical details in a public group message. Ask the passenger what practical assistance or equipment arrangement is required.

Prepare an alternative before it is needed

Ask how the group will be notified if the approved pickup area becomes unavailable. Use an organiser contact and the operator’s agreed communication process. A backup meeting point should be assessed before guests are told to rely on it.
