An airport group transfer starts with the flight information and ends at a specific accommodation or venue entrance. Between those points, passengers may need baggage collection, arrival processing and time to assemble. Scheduled landing time is therefore different from the time the whole group is ready to board.

This checklist helps a Cairns organiser provide a useful airport-transfer brief. Pickup locations and instructions should come from the confirmed booking and current airport arrangements, rather than an assumed meeting point from a previous trip.

Give the complete flight reference

Supply the arrival date, airline and flight number, terminal where known and the number travelling on that flight. For departures, give the flight departure and the airline’s required check-in information. Avoid a brief that says only morning arrival or international flight.

If several flights are involved, list them separately. The operator needs to understand whether passengers are expected to wait for another flight and how that waiting would be managed. Combining groups is a planning decision, not an automatic inclusion.

Count people and luggage independently

Record the maximum passengers and the expected number of suitcases, cabin bags and larger items. A group arriving after a long trip may carry substantially more than a group moving between local venues. Include equipment and mobility aids that need assessment.

Ask the team to confirm the storage arrangement for the proposed vehicle. Do not assume the smallest vehicle that seats everyone will hold every bag. Update the operator if luggage requirements change after the initial enquiry.

Use confirmed meeting instructions

Follow the pickup instructions supplied for the booking. Give passengers a clear process for contacting the organiser when they have collected bags and reached the agreed meeting area. A terminal entrance or public transport point should not be designated without confirmation.

For current airport information, consult Cairns Airport’s official website. The airport’s general information does not replace instructions for your particular charter. Ensure everyone receives the same final meeting message.

Plan for flight changes

Nominate one contact who can report a delayed flight, a missed connection or a passenger travelling on a different service. Ask the operator how the booking treats delays and waiting. Do not assume that every changed arrival can be accommodated without affecting the service.

Keep the flight reference and operator contact accessible while travelling. If a group splits across flights after a disruption, give the revised counts and arrival details. That can change both the timing and the number of movements needed.

Describe the destination entrance

Provide the hotel or venue name, full address and approved unloading point. Several accommodation drops should be listed separately, with the passenger count at each. Ask the team to assess the sequence before publishing arrival expectations.

If guests have mobility or boarding requirements, discuss them privately during planning. Explain the practical assistance or equipment needs. Confirm suitable vehicle and entrance arrangements rather than assuming an airport-transfer label establishes accessibility.

Keep the departure journey separate

For a return to the airport, start with the flight and check-in requirements and ask the operator to assess the pickup plan from the actual accommodation address. Include boarding and loading, not just road travel. The organiser should reconcile the passengers before departure.

Send outward and return movements as separate rows in the enquiry. Confirm dates, luggage, hotel pickup instructions and contacts on both. Do not copy the arrival pickup time into the departure plan without reviewing the flight requirement.

Questions answered

Should pickup be at the scheduled landing time?

The team needs the flight details and the agreed waiting arrangement. Landing time alone does not establish when all passengers are ready.

Can we combine several flights?

Ask the operator to assess separate flight groups, passenger counts and the required waiting arrangement.
