Two transport quotes can have different prices because they describe different jobs. One might cover a direct transfer, while another allows several pickups, waiting and an evening return. Before deciding which represents better value, make sure each operator has assessed the same itinerary.

This comparison worksheet helps a Cairns organiser identify questions to resolve before accepting a quote. It does not rank operators or claim that the cheapest offer is necessarily the best fit.

Start with one written brief

Use a single version of the route, passenger count, departure times and luggage requirements when requesting quotes. Label provisional information clearly. If an operator receives a different headcount or a shorter route, the resulting price cannot be compared fairly.

Include the required arrival time as well as the proposed departure. Mention important vehicle features in the initial brief. An essential accessibility requirement or large equipment load should not first appear after price comparisons have been made.

Check the movements line by line

Confirm that the quote includes every pickup, destination and return. Count the number of separate journeys and compare their dates and times with your itinerary. Look for a missing hotel stop or an evening return that was mentioned in a conversation but not recorded.

Ask whether waiting and vehicle availability during a gap are included. A vehicle returning at a nominated time is different from one retained at the venue. Neither is inherently wrong; it needs to match the group’s actual requirement.

Compare the proposed vehicle requirements

Confirm the passenger capacity and accepted luggage load, then ask about the features essential to the trip. Do not infer a restroom, accessibility facility or large storage capacity from a luxury description. The proposal should address the particular requirement.

Ask what happens if an alternative vehicle is allocated. The important comparison is the suitability of the confirmed arrangement, rather than assuming every photograph on a website identifies the vehicle you will receive.

Understand inclusions and possible extras

Ask the operator to identify how the price treats taxes, tolls, parking, airport charges, waiting and extra stops. Some items depend on the itinerary or third-party charges. Compare the written inclusions rather than assuming the same treatment across every quote.

Where the finish time is uncertain, ask how extensions would be assessed and who can authorise them. Ask for a clear explanation of any excluded activity, admission or meal. Transport to an attraction does not itself establish an admission booking.

Read the confirmation conditions

Check the payment requirements, cancellation conditions, change process and quote validity supplied by the operator. Ask questions before accepting. A quote is not automatically a reservation, and a provisional date may still require formal confirmation.

Keep the itinerary and written acceptance together. If a booking contact changes, pass on the complete record rather than just the final price. The new organiser needs the operating details and conditions as well as the invoice.

Use a practical comparison record

Make columns for route, passengers, luggage, vehicle features, duty period, inclusions, exclusions and price. Record unanswered questions beside each proposal. Resolve those questions directly instead of filling the gaps with assumptions.

Select the offer that meets the journey requirements and provides terms you understand. If you revise the itinerary, ask for the quote to be updated before relying on the old comparison. The cheapest headline number may cease to be comparable once the omitted movements are added.

Questions answered

Should we compare only the per-person price?

Compare the total confirmed job and its inclusions first. A per-person figure changes when the passenger count changes.

Can we assume all quotes include waiting?

No. Ask how each proposal treats waiting and the time between journeys.
